Cancellation & Refund Policy
Last updated: September 19, 2025
This Policy explains how cancellations and refunds are handled for services booked through Next Step Destinations (Insert Legal Entity Name). Specific bookings are governed by the exact supplier rules (airlines, hotels, DMCs, transport, activities). Where there is a conflict, the supplier’s policy prevails.
1) How to Request Cancellation/Refund
- Email us from your registered email ID at support@nextstepdestinations.in with your booking reference, traveller names, and reason.
- We acknowledge within 24–48 working hours and confirm applicable charges per supplier rules before proceeding.
- Phone/WhatsApp requests are actioned only after a confirming email from the registered address.
2) Timelines & Standard Cancellation Charges (Indicative)
Actual charges depend on your specific supplier(s). As a general framework:
| When you cancel* | Typical charge |
|---|---|
| ≥ 30 days before start | Booking deposit (non‑refundable) |
| 15–29 days | 50% of package cost |
| 7–14 days | 75% of package cost |
| 7 days / no‑show | 100% (no refund) |
*Airlines/visas/ferries/events/peak‑season blocks may be fully non‑refundable from the moment of purchase.
3) Non‑Refundable Components
- Visa fees, travel insurance premiums, convenience/processing charges.
- Discounted/promotional airfares with strict or zero refund conditions.
- Tickets for attractions, events, ferries, and activities marked as non‑refundable.
4) Air Tickets & Visa Rules
- Airline cancellations/rebooks follow fare rules; airline taxes may be partly refundable per carrier policy.
- Name/date changes may be disallowed or chargeable; no‑show typically incurs 100% loss on restricted fares.
- Visa decisions rest solely with embassies/consulates; visa fees/service charges are non‑refundable once submitted.
5) Refund Process & Documentation
- Once you confirm cancellation, we obtain written confirmation from each supplier and compute the net eligible amount (if any).
- Provide bank details (for NEFT) if original source credit is not feasible, plus ID proof if required for compliance.
- We share a refund note confirming the amount and the estimated processing timeline.
6) Refund Mode & Processing Time
- Refunds are preferably returned to the original payment method; otherwise via NEFT to the booker’s name after verification.
- Processing time typically 7–30 working days after we receive funds from suppliers/payment gateways. Peak periods and airline cases may take longer (up to one billing cycle or more).
- Convenience fees or gateway charges (if any) are non‑refundable per provider terms.
7) No‑Show, Early Check‑out & Unused Services
- No‑show and early check‑out are treated as fully used by most suppliers—generally non‑refundable.
- Partially used/unused services after trip commencement are typically non‑refundable.
8) Force Majeure & Operational Changes
Delays or cancellations due to events beyond reasonable control (weather, strikes, political unrest, natural disasters, epidemics, governmental actions, etc.) are handled as per supplier policies. Where permitted, we will assist with date changes, re‑sequencing, or credits; cash refunds depend on supplier consent after deductions.
9) Rebooking Credit/Voucher
If a cash refund is not possible but the supplier allows, we may offer a travel credit/voucher with defined validity (generally 6–12 months) and terms (blackout dates, non‑transferability). Acceptance of a credit constitutes agreement to its specific terms.
10) Group & Peak‑Season Bookings
- Group series, festive periods, exhibitions, or high‑demand dates may have stricter or 100% cancellation from the outset.
- Hotel/air blocks secured with advance deposits are often non‑refundable and non‑transferable.
